USA Mechanical provides comprehensive full-service mechanical contractor providing 24/7 HVAC Service & Maintenance for all types of commercial facilities ensuring that HVAC equipment is operating at peak efficiency.
Job Description/Overview of Position.
Looking for an Administrative Assistant to support our entire office, construction & service departments as our company is growing rapidly. Must have the ability to prioritize and multi-task, organized and pay attention to details, provide excellent customer service and be a strong team player.
Responsibilities:
- Take priority in Presidents needs and deadlines.
- Answer inbound phone lines and greeting visitors.
- Carry out administrative duties such as filing, typing copying, scanning etc.
- Issue and create POs for our warehouse personnel.
- In charge of creating Microsoft Forms & Power Automate.
- Ordering of office/cleaning supplies, uniforms, apparel, safety items, business cards etc.
- In charge of ordering/updating cell phones accounts.
- Collect mail on a daily basis and distribute same day.
- Update weekly WIP report and email out to all employees.
- Run business errands/drop off outgoing mail when needed.
- Prepare outgoing packages/envelopes for FedEX & UPS.
Qualifications:
- High School or equivalent.
- Administrative Assistant & Receptionist 2 years (preferred).
- Must have strong presentation skills and customer service skills.
- A proven track record of organizational, thoroughness and job completeness skills.
- Ability to adjust to changing workflows and demands
- Strong MS Office skills including Excel, Word, and PowerPoint.
